what if the office ran itself

Port Stephens Machining

Business automation

We rebuilt our machine shop's back office around AI. Same shop, same machines — the paperwork just stopped needing people. Now we install that system for other businesses.

the short version

This didn't start in a tech office. It started on the shop floor.

Port Stephens Machining is a real workshop — lathes, mills, metal, deadlines. A couple of years ago it was flat out and going backwards: one owner doing two people's jobs, and the back office quietly eating every hour that wasn't spent cutting metal.

So we threw everything at it. Tried the systems, built our own where nothing fitted, and kept only what actually worked. Today the office side — quoting, purchase orders, invoicing, scheduling, labels, reporting — largely runs itself.

That system is what we now build for other businesses. Not a demo. Not a course. The real thing, proven on a business that had no room to get it wrong.

the proof

You don't have to take our word for it. It's in the ledger.

When the system took over our back office, the cost of running the business fell away — while the shop kept trading.

Net margin
−13% → +36%

A 49-point swing, before to after.

Running costs
−73%

Average monthly cost of running the business.

Months in the red
10 of 18 → 2 of 6

From losing most months to consistent profit.

Same sales
5× kept

May to May: near-identical revenue, five times the profit.

From our own books in Xero, accrual basis, July 2024 to June 2026. To be straight about it: sales also dipped while the system was being built. The win isn't a sales spike — it's how much less the office costs to run, so far more of every dollar stays in the business.

the system

The boring half of your business, handled.

01

Purchase orders → jobs

Customer orders land by email and become live jobs — priced, scheduled, nothing retyped.

02

Invoicing on its own

Job finished, invoice raised in Xero and sent. No Friday-night catch-up.

03

Production that plans itself

What to make next, in what order, on which machine — worked out before you walk in.

04

Labels & dockets, hands-off

Batch labels, item labels and delivery dockets print the moment the job is ready to go.

05

Quotes in minutes

From a drawing or a part number to a priced, sent quote — minutes, not half a morning.

06

A back office that reports

Live numbers from Xero and your job list, and an alert when something needs you — not an end-of-month surprise.

how it works

Three steps. Mostly invisible.

1

We map the busywork

Every repetitive job that eats your week gets written down and timed.

2

We build the automations

Quietly, around the tools you already use — Xero, email, your spreadsheets and systems.

3

You get the hours back

The office runs itself, and you keep far more of every dollar the business earns.

the honest bit

We're not selling software. We install the system that runs the boring half of your business.

It starts with a conversation about where your week actually goes.

start a conversation

Tell us where the busywork is. We'll show you what disappears.

Talk to Todd — the bloke who built it, and still runs the machines.
